Frequently Asked Questions
We welcome all students. We especially open our doors to students who are struggling — helping them learn how to study, build confidence, and grow is at the heart of what we do.
We start with a free 20–30 minute assessment — available in person or via Zoom — to understand your child’s foundation, identify where they may be struggling, and place them in the class that fits them best.
Yes. Trial classes are conducted in a one-on-one setting, charged at the group rate — a lower-cost way for families to experience our instruction before fully committing.
All classes are led by credentialed educators — over 80% holding a master’s degree or higher. No college students, no temporary instructors.
We specialize in math and science, covering AP courses, SAT preparation, and competitive programs including AMC and AIME — available in both group and private formats.
Yes — math and science is our exclusive focus. By specializing rather than offering everything, we ensure a deeper level of expertise and instruction in every class we offer.
Group sessions are 1.5 hours long, capped at 2–5 students, and meet once per week on a fixed schedule. Private sessions are one-on-one with flexible scheduling tailored to your child’s availability.
All online sessions are conducted live via Zoom. If a class is missed with proper notice, the recording is available at half the tuition rate — we highly recommend it so your child doesn’t fall behind.
We offer both weekend and late evening classes to accommodate busy families. Group sessions follow a fixed weekly schedule, while private sessions are flexible.
No. We don’t require any long-term commitment or contracts. You’re free to continue, pause, or stop at any time.
We accommodate every student’s needs. If a class isn’t the right fit, they can always switch. We’ll even open a new class if we see a genuine need — your child’s progress always comes first.
It depends on the class and the student’s needs. We assign homework when we feel it will genuinely help — but we’re also mindful that our students already have full plates. We never assign work just for the sake of it.
If a class is missed with at least 24 hours notice, students have two options: access the session recording at half the tuition rate, or schedule a 1-hour make-up session at another time if a teacher is available. Note that make-up sessions may be with a different teacher.
Sessions end at their originally scheduled time regardless of arrival. We encourage students to join a few minutes early to settle in and get the most out of their class.
In rare cases, a qualified substitute may teach the session. If your primary teacher is unavailable for more than 2 consecutive sessions, we will discuss long-term arrangements with you directly.
You’ll receive a detailed monthly report covering both your child’s academic progress and overall holistic development. We also proactively reach out whenever there’s something important you should know — we don’t wait for the monthly report.
We ask that all parent communication go through our directors rather than directly to teachers. This allows our teachers to stay fully focused on what they do best — teaching your child. Our directors are always available to address your questions, concerns, or feedback and will ensure the right people are informed.
Invoices are sent out by the 5th of each month and are due by the 15th. We accept Zelle, cash, or check.
We’ll always work with you to make it right — whether that means switching teachers or addressing concerns together. Any classes not yet taken are fully refundable.
Cancellations made at least 24 hours in advance are eligible for a full refund or credit. Late cancellations are non-refundable unless there is a genuine emergency.
Missed sessions without notice are non-refundable. For private sessions, we wait 15 minutes before marking it as a no-show.
Simply fill out our consultation form or give us a call — we’ll take it from there.
ICMS Tutoring Center Policies
Welcome to ICMS! We truly appreciate the trust you place in us to support your child. Our goal is to make learning meaningful, consistent, and stress-free for every family. To help us do that, we kindly ask you to review the following policies designed with parents and students in mind.
We understand that families are busy, and schedules can be unpredictable. If a student misses a session without any notice, we consider it a no-show.
For private 1:1 sessions, we will wait 15 minutes before cancelling the class as a no-show.
We know unexpected situations come up. If you need to cancel a session, please let us know at least 24 hours in advance.
- Cancellations within 24 hours follow the standard policy of no refund/credit unless there is a genuine emergency (e.g., sudden illness, family crisis).
- Our teachers prepare lessons and reserve the time specifically for your child. Please let us know in advance if you need to cancel.
To maintain a fair learning environment and protect the value of live instruction, we have updated our Zoom recording policy.
- Zoom recordings for absent students will be provided half the regular class tuition. This is to ensure fairness and to respect the commitment of families who attend consistently.
- Families have freedom to purchase the recordings or not
- However, we highly recommend purchasing the recording, so that the student will not miss out on important topics covered in class.
We appreciate your understanding as we ensure an equitable system that respects both the teacher’s time and the commitment of families who attend consistently.
We want every child to get the most out of their learning experience. To maintain consistency and help students progress, we encourage families to prioritize scheduled class times.
We kindly ask that students not miss class for reasons such as last-minute studying, school project meetings, or manageable homework loads.
- Group classes are 1.5 hours long.
- If a student misses a group class with proper notice, we offer a 1-hour 1:1 make-up session to keep them on track. The one-on-one focus allows us to cover the key material in a shorter time.
- Depending on the availability of our teachers, the make-up class may take place with a different teacher.
We keep billing simple:
- Invoices go out by the 5th of each month.
We kindly ask that payments be made by the 15th.
If an absence is communicated 24 hours in advance, families may choose either:
- a refund, or
- a credit applied to the next month.
Absences reported within 24 hours follow the regular cancellation policy.
To respect everyone’s schedule, sessions end at the originally planned time even if a student arrives late. Encouraging students to come a few minutes early helps them settle in and get the most out of their learning time.
If a teacher is unexpectedly unavailable, a qualified substitute may teach the session. This will definitely be infrequent and for unexpected reasons only. If your primary teacher is unavailable for more than 2 consecutive sessions, we will discuss alternative long-term arrangements with you.
While teacher substitutions don’t qualify for refunds or credits, we always ensure the quality and continuity of instruction remain strong.
To ensure the best experience for your child, we ask that all parent communication go through our directors rather than directly to teachers. This allows our teachers to stay fully focused on what they do best — teaching your child — and protects their time and energy so they can show up fully prepared for every session.
Our directors are always available to address your questions, concerns, or feedback and will ensure the right people are informed promptly. You can reach us via phone or through our consultation form.
